Transaction Coordinating Duties

Don’t get bogged down in paperwork, let us take on the grunt work so you can focus on growing your business! Spend more time finding new leads, and less time on admin duties. We want you to feel confident your transactions are being handled correctly.

  • Review contracts and essential addenda for compliance.
  • Open file with escrow and/or title company.
  • Order title and survey.
  • Deliver copies of contracts and addenda to the cooperating agent.
  • Preparation of disclosures, amendments, and addenda.
  • Manage deadlines and timeframes as needed throughout the transaction.
  • Follow up with the escrow company and cooperating agent as needed.
  • Keep the Agent informed of all communications.
  • Send regular transaction status e-mails and advise the Agent of pending deadlines.
  • Ensure all paperwork is provided to all parties.
  • Coordinating closing time with all parties.
  • Follow up with escrow and title company on the closing day
  • Ensure your file is broker compliant.

What is a transaction coordinator?

A remote Transaction Coordinator (abbreviated as TC) uses software workflows to manage the details involved in closing a real estate transaction. The remote transaction coordinator monitors the process from opening escrow to closing.

Do you have a cancellation fee?

$50 Fee will process on the next closing or billing cycle in occurrence of sale fail.

Are my files secure and confidential?

We do not share your private information with anyone. Paperless Pipeline keeps your transaction data secure and is only accessible to users granted permissions.

What if my office is far away from you?

Transaction Coordinator Service is a virtual company. All documents and transactions are handled online through Paperless Pipeline. You do not need to be located near our office. If you would like a conference call we can set one up via Zoom.

How can I contact my TC?

Angela will be your transaction coordinator and she will reach out to you directly via phone or email.

How will I know what is happening with my transaction?

You will have access to Paperless Pipeline, our transaction management system. All documents are uploaded and updated as they are received. You can also reach Angela during business hours (Mon-Fri 8am-5pm)

Will you contact my clients directly?

It’s up to you! However, we find it’s efficient if  we can contact your client directly. We’ll keep you informed of all communications.

Can you help with a transaction I have already started?

Yes! We can take over paperwork on transactions that are in progress.

Your TC will have copies of all documents that are provide to her. We utilize Paperless Pipeline, which is a user-friendly platform that helps input, track, and control paperwork.
